Your first steps

A practical start for your whole team.

Introduce CloudScaff around the way your people work, with clear records, responsibilities, and a manageable first rollout.

01 / Choose a starting workflow

Start with the work that needs the most attention: stock movements, site coordination, or scaffold documentation. Pick a small representative project for your first rollout.

02 / Prepare your records

Gather your item codes, descriptions, yard locations, active projects, and opening quantities. Review duplicates and uncertain balances before migration.

03 / Set up your people

Agree who creates records, who approves them, and who needs customer access. Give each person the permissions needed for their role.

04 / Run a complete working cycle

Test a delivery, receipt, transfer, and return. For scaffold workflows, complete an inspection and handover, then review the record with the office.

05 / Review and expand

Resolve questions from the pilot, confirm opening records, and train the next group using your own operating procedures.

Prepare together

Your rollout checklist

Use a shared checklist to agree owners, review your data, and track the first working cycle.

Prepare stock records your team can explain.

Start with a defined stock scope and an agreed cutoff time. Keep each item’s code, description, unit, location, condition, and opening quantity together. Review duplicate codes and movements around the cutoff before accepting the opening balance.

Agree what each quantity means

Separate physical location from stock status. Equipment allocated to a job may still be in the yard. Confirm how your team will record that distinction before importing or entering opening records.

Review inventory statuses →

Keep a reference for the opening balance

Retain the count sheet or source record, its date, and the person responsible for review. Investigate uncertain quantities rather than carrying an unexplained difference into the pilot.

Decide when the pilot is ready to expand.

Use a complete working cycle as your acceptance check. The yard should be able to explain dispatched and returned quantities; the site should be able to find its records; and the office should be able to trace a difference back to its source. Assign unresolved questions to an owner before adding the next project.

  • Opening balances have been reviewed for the pilot scope.
  • Each role can complete its tasks on the devices it will use.
  • Deliveries, transfers, and returns agree with their supporting records.
  • Scaffold documents can be found by the people who need them.
  • The team knows who corrects errors and where to get help.
